Email migration

Bring your existing email with you when you move to SyncTech.

How migration works

Moving to SyncTech? Bring your existing email with you, from Gmail, Microsoft 365 or another host, with minimal disruption.

  1. Create your new mailboxes first

    We set up your SyncTech accounts before anything is switched, so nothing is lost.

  2. Copy your existing mail (IMAP)

    Your old and new mailboxes are connected and messages are copied into SyncTech, your original mail stays untouched.

  3. Switch your MX / DNS records

    Once mail is copied, we point your domain’s mail records to SyncTech so new email arrives here.

  4. Reconnect and verify

    Set up your devices and confirm sending and receiving both work.

From Gmail

  1. Enable IMAP in Gmail

    In Gmail, open Settings → Forwarding and POP/IMAP and enable IMAP.

  2. Connect both accounts

    Add your Gmail and new SyncTech account to one desktop client.

  3. Copy folders across

    Drag your Gmail messages and folders into your SyncTech IMAP folders.

  4. Switch over

    Update your domain’s mail records to SyncTech and start using your new account.

From Microsoft 365

  1. Confirm IMAP access

    Ensure IMAP is enabled for your Microsoft 365 / Outlook.com mailbox.

  2. Connect both mailboxes

    Add your Microsoft 365 and new SyncTech account to the same client.

  3. Copy mail and folders

    Move your Inbox and folders across, or export to PST and import.

  4. Repoint and reconnect

    Switch your MX records to SyncTech and reconnect your devices.

From another provider

  1. List your mailboxes

    Note each email address and password so we can recreate them.

  2. Run an IMAP-to-IMAP transfer

    We copy mail directly from your old server to SyncTech, the most reliable method.

  3. Verify the copy

    Check inboxes and folders arrived correctly before switching live.

  4. Change DNS and cut over

    Point your mail records to SyncTech. Keep the old mailbox active for a short overlap.

Don’t cancel your old service too early. Keep it running for a few days after the switch so any mail still routing to the old server is captured while DNS updates.
